10 Overused Words in Writing Minimize

All words are good words. Some, however, are overused without adding value to what you write. As a result, they reduce the readers’ interest, make text seem redundant, and cause the writer to appear amateurish.

We have created a list of 10 overused words, based on the documents we have edited over the last 5 years. We don’t recommend that you remove these words from your writing. Instead, we recommend that you become aware of how often you use them and that you revise your documents to limit their use.

1. There
When writers are not sure about the subjects of their sentences, they will often use this word as the subject. This results in weak writing. (For advice on correcting this problem, see our article “Where Is There?”)

Example: “There was no one at home.” This can be revised as “No one was at home.”

2. You
Writers often use this word when referring to general or reoccurring situations. “You” rarely refers to the reader and should be avoided.

Example: “Our grandmother was nice. She always gave you candy.” This can be revised as “Our grandmother was nice. She always gave us candy.”

3. If
Although “if” is a fine word, it is overused by writers trying to describe options and thought processes.

Example: “If she took the bus, she wouldn’t have time to stop by the grocery store.” This can be revised as “Taking the bus would leave her too little time to stop by the grocery store.”

4. When
Readers realize that actions can occur at the same time, which is what the word “when” indicates. Thus, “when” is usually unnecessary.

Example: “When she opened the door, she saw blood on the floor.” This can be revised as “She opened the door and saw the blood on the floor.” Some writers use “when” to describe actions that cannot occur at the same time, as in “When she woke up, she made coffee.” Actually, she first wakes up and then makes the coffee. This can be revised as “She woke up and made the coffee.”

5. As
We once worked on a book in which the author used this word repeatedly to describe the timing of actions, often 3 or 4 times in one paragraph.

Example: “He was shouting ‘Follow me!’ as he ran down the road.” This can be revised as “He ran down the road shouting ‘Follow me!’ ”

6. Very
Mark Twain made this comment about using “very”: “Substitute ‘damn’ every time you’re inclined to write ‘very’; your editor will delete it and the writing will be just as it should be.” “Very” is a crutch for finding the right word to describe what you mean to say. Find the right word.

Example: “He was very old.” This can be revised as “He was ancient.”

Also, in this example, you can simply write, “He was old,” and then provide text to further explain what you mean by “old.” For example, you could write, “He was old. He walked hesitantly, knowing that his brittle bones would surely break were he to stumble over an unseen obstacle.”

7. Really
Generally, this word can be removed without changing the meaning of a sentence. Anything that is true is also really true.

Example: “He was really nervous about speaking in public.” This can be revised as “He was nervous about speaking in public.” To show a greater degree, use a different word, as in “He was panicky about speaking in public” or “Public speaking scared him.”

8. Am/Is/Are/Was/Were (“to be” verbs)
Action verbs are always preferable to state-of-being verbs. Use words that describe the action occurring. Rather than saying what something/someone is, show the reader what something/someone does.

Example: “I am envious of her success.” This can be revised as “I envy her success.”

Example: “She was dressed in leather chaps and a flannel shirt.” This can be revised as “She wore leather chaps and a flannel shirt.”

9. So
See #7. “So” is also overused as a conjunction.

Example: “Her face was inches from his own, so he leaned forward and kissed her.” This can be revised as “Her face was inches from his own. He leaned forward and kissed her.”

10. Because
This word is overused to provide explanations. To fix this, use the word “and” with action verbs.

Example: “He wanted to go to the fair because his friends would be there.” This can be revised as “He wanted to go to the fair and meet with his friends.”

Example: “I want to leave because I am tired.” This can be revised as “I’m tired and want to leave.”

vonnegut on writing better

On writing better–Kurt Vonnegut

One could do far worse than to model your writing after Kurt Vonnegut. His mythic stories are simply constructed, easy to read, and stay with you long after you’ve shelved the book (or, better yet, given it away).

In his book of essays Palm Sunday, Vonnegut provides some tips on how to write elegantly, simply, and memorably.

Below the fold, I interpret the master’s advice for the beginning science writer.

1. Find a subject you care about. It’s hard to bring yourself to write if you don’t believe in what you’re writing. We procrastinate for any number of reasons (and perfectionism is one of them). But if you deeply suspect that a thesis chapter isn’t yet ready for prime time, get a reality check. Present it as a 10 minute talk to your lab group.

2. Do not ramble, though. Outline your argument. Boil it down to the essential points. Then use the outline to construct your topic and summary sentences for each paragraph. It ain’t necessary to point out every possible exception to every generalization.

3. Keep it simple. I was once told that the perfect paper in ecology was 10 pages long and had one good idea that was bolstered by a variety of evidence. Such a paper maximizes the possibility that it will be read and remembered.

4. Have guts to cut. Nearly everybody loves the sound of their own voice. Go through your first draft and ask, of every sentence, “Is this really necessary?”. This particularly applies to your Discussion. It is not a repository for every thought you have had on the topic. Relate your data to your hypotheses and to the current thinking in the field, honestly confront your limitations in a caveat paragraph, and propose one or two next steps.

5. Sound like yourself. Science writing is not supposed to be boring or flowery. Write as if you are explaining your study to a colleague.

6. Say what you mean. It is often easy to get lost in the thicket of sentences and paragraphs. Before you sit down for the day’s writing, spend a minute explaining to an imaginary officemate why this paper is worth writing, and what the data mean. Then make sure every sentence advances that message.

7. Pity the readers. The literature is huge and expanding. Clear, concise writing is needed now more than ever. Whenever you are tempted to leave one murky paragraph, imagine a reader some time in the future (or better yet, a reviewer or editor) wincing and shaking her head. Then buckle down and write what you mean.

One author shares his tried-and-true principles for making good writing better.

1. Never save your best for last. Start with your best. Expend yourself immediately, then see what happens. The better you do at the beginning, the better you continue to do.

2. The opening paragraph, sentence, line, phrase, word, title—the beginning is the most important part of the work. It sets the tone and lets the readers know you’re a commanding writer.

3. The first duty of a writer is to entertain. Readers lose interest with exposition and abstract philosophy. They want to be entertained. But they feel cheated if, in the course of entertaining, you haven’t taught them something.

4. Show, don’t tell or editorialize. “Not ideas about the thing, but the thing itself.”—Wallace Stevens

5. Voice is more important than image. “Poetry is not a thing, but a way of saying it.”—A.E. Housman

6. Story is more important than anything. Readers (and publishers) care a lot less about craft than content. The question they ask isn’t, “How accomplished is the writer?” but, “How good is the story?”

7. These rules, pressed far enough, contradict each other. Such is the nature of rules for art.

8. All writing records conflict. Give the opposition quality attention and good lines. The power of the the antagonists should equal that of the protagonists.

9. Shift focus often. Vary sentence structure and type; jump back and forth in time and place; make a good mix of narration, description, exposition and dialogue.

10. Be careful of your diction. A single word, like a drop of iodine in a gallon of water, can change the color of your entire manuscript.

11. Provide readers with closure. The last sentences of the novel echo something that happened earlier. Life comes full circle. “If I have a pistol in my first chapter, a pistol ends the book.”—Ann Rule

12. By the end of the work, the conflict should reach some satisfactory resolution. Not always a “happily ever after” ending, but something should be finalized.

13. Revise, revise. You never get it on the first try. Art shows up in rewriting.

14. Avoid excessive use of adjectives and adverbs; trust the precision of your nouns and verbs. Verb form: the shorter the better. Avoid helping verbs and progressives. Avoid passive voice. Avoid cliche and stock phrases.

15. Be interesting with every sentence. Be brief. Hemingway’s first editor at the Kansas City Star gave him this style sheet: “Use short sentences. Use short first paragraphs. Use vigorous English. Be positive, not negative.” Hemingway later referred to that list as “the best rules I ever learned for the business of writing.”

16. If you can be misread, you will be.

17. There are no rules for good writing. Those who break the “rules” successfully are the true artists. But: learn, practice and master the rules first. “You cannot transcend what you do not know.”—Sri Nisargadatta Maharaj

Grammar Girl’s Top 10 Language Myths

10. A run-on sentence is a really long sentence. Wrong! They can actually be quite short. In a run-on sentence, independent clauses are squished together without the help of punctuation or a conjunction. If you write I am happy I am glad as one sentence without a semicolon, colon, or dash between the two independent clauses, it’s a run-on sentence even though it only has six words. (See episode 49

for more details.)

9. You shouldn’t start a sentence with the word however. Wrong! It’s fine to start a sentence with however so long as you use a comma after it when it means “nevertheless.” (See episode 58

for more details.)

8. Irregardless is not a word. Wrong! Irregardless is a word in the same way ain’t is a word. They’re informal. They’re nonstandard. You shouldn’t use them if you want to be taken seriously, but they have gained wide enough use to qualify as words. (See episode 94

for more details.)

7. There is only one way to write the possessive form of a word that ends in s. Wrong! It’s a style issue. For example, in the phrase Kansas’s statute, you can put just an apostrophe at the end of Kansas or you can put an apostrophe s at the end of Kansas. Both ways are acceptable. (See episode 35

for more details.)

6. Passive voice is always wrong. Wrong! Passive voice is when you don’t name the person who’s responsible for the action. An example is the sentence “Mistakes were made,” because it doesn’t say who made the mistakes. If you don’t know who is responsible for an action, passive voice can be the best choice. (See episode 46

for more details.)

5. I.e. and e.g. mean the same thing. Wrong! E.g. means “for example,” and i.e. means roughly “in other words.” You use e.g. to provide a list of incomplete examples, and you use i.e. to provide a complete clarifying list or statement. (See episode 53

for more details.)

4. You use a before words that start with consonants and an before words that start with vowels. Wrong! You use a before words that start with consonant sounds and an before words that start with vowel sounds. So, you’d write that someone has an MBA instead of a MBA, because even though MBA starts with m, which is a consonant, it starts with the sound of the vowel e–MBA. (See episode 47

3. It’s incorrect to answer the question “How are you?” with the statement “I’m good.” Wrong! Am is a linking verb and linking verbs should be modified by adjectives such as good. Because well can also act as an adjective, it’s also fine to answer “I’m well,” but some grammarians believe “I’m well” should be used to talk about your health and not your general disposition. 2. You shouldn’t split infinitives. Wrong! Nearly all grammarians want to boldly tell you it’s OK to split infinitives. An infinitive is a two-word form of a verb. An example is “to tell.” In a split infinitive, another word separates the two parts of the verb. “To boldly tell” is a split infinitive because boldly separates to from tell. (See episode 9

And now, the number one grammar myth, which my Twitter friends chose over splitting infinitives [fanfare music]

1. You shouldn’t end a sentence with a preposition. Wrong! You shouldn’t end a sentence with a preposition when the sentence would mean the same thing if you left off the preposition. That means “Where are you at?” is wrong because “Where are you?” means the same thing. But there are many sentences where the final preposition is part of a phrasal verb or is necessary to keep from making stuffy, stilted sentences: I’m going to throw up, let’s kiss and make up, and what are you waiting for are just a few examples. punctuation doesn’t have to suck

Rule one
If your sentence begins with an introductory element, put a comma after it. Even if it’s a short element, put a comma after it. In time, you’ll be putting this comma in without having to think about it.

Rule two
Any element which interrupts the movement of the sentence, whether it’s big or small, should be set off with commas. This sentence, like the first, also has an element set off with commas. An element that appears at the end of the sentence should also be set off with a comma, as I’m showing here.

Rule three
Items in a series should be separated with commas. What do I mean by “items in a series”? Wine, women, and song. Life, love, and laughter. Crosby, Stills, Nash, and Young.

Rule four
Complete sentences that are joined by a coordinating conjunction (and, but, for, nor, or, so, yet) need a comma before the coordinating conjunction. That might seem obvious, but this comma frequently gets left out. Putting it in makes a sentence more readable, and any reader appreciates that.

Rule five
Complete sentences that are joined without a coordinating conjunction need a semi-colon instead of a comma; the semi-colon shows the end of one sentence and the beginning of the next. Semi-colons are often followed by a connecting word or phrase; however, a connecting word or phrase is not necessary. Sentences joined with only a comma are called comma splices; they’re among the most common errors that come up in college writing.

(Note: In the next-to-last sentence in the previous paragraph, there’s a comma after however because it’s an introductory element in the second sentence.)

Fixing comma splices requires familiarity with two recurring sentence patterns. The first involves a complete sentence, a semi-colon, and another complete sentence:

[complete sentence]; [complete sentence].

Some examples:

Your argument is persuasive; it addresses every objection I had.
His research paper is plagiarized; he is going to fail the class.
The novel is a relatively recent literary form; it’s not nearly as old as epic poetry and lyric poetry.

The second pattern to look for involves a complete sentence, a semi-colon, a connecting word or phrase, a comma, and another complete sentence:

[complete sentence]; [word or phrase], [complete sentence].

(Again, the comma after the connecting word or phrase is appropriate as that word or phrase is an introductory element in the second sentence.)

Some examples:

I decided not to take the job; instead, I’m going to graduate school.
The proposal is flawed; as a result, we’re sending it back for revision.
She did well in the class; in fact, she did much better than she had expected.

How can you tell whether you have two complete sentences or one sentence with an interrupting element at its end? With an interrupting element (something less than a sentence in itself), the parts of the sentence can be switched and still make sense:

I’ll go to work, even though I’m sick.
Even though I’m sick, I’ll go to work.

But with a second complete sentence and a word or phrase such as instead, as a result, or in fact, the parts cannot be switched and still make sense.

Those are the basics of punctuating sentences with commas and semi-colons. I know from working with many students that any writer can get better when it comes to punctuation. The key is the ability to recognize a handful of familiar patterns. Look for the patterns in your sentences, and you too can get better. With some practice, you’ll be able to see the parts of your sentences falling into place, and punctuating correctly will become, believe it or not, a habit, one that you’ll be happy to have acquired.
